Importing members from a spreadsheet

If you have an existing membership list in Excel or as a CSV file, you can upload it directly into Community Hub.

  1. Go to Data > Import.
  2. Export your membership list from your existing system as a CSV file.
  3. Click Upload file and select your CSV.
  4. Map each column in your file to the corresponding Community Hub field (e.g., "Email Address" → email, "Mobile" → mobile).
  5. Click Import. The system shows a summary of records added and updated.
The import deduplicates on email address and mobile number. If a record already exists with the same email or mobile, it is updated rather than duplicated.

Preparing your CSV file

There is no required column order or header name — you map them during the import. At minimum, each row needs at least one contact field (email or mobile). Useful columns to include:

  • First name, Last name
  • Email address
  • Mobile number
  • Landline (optional)
  • Organisation or membership ID (optional)

Exporting your member data

  1. Go to Data > Export.
  2. Optionally filter by topic or other criteria.
  3. Click Download CSV. The file downloads to your browser.

The export includes all contact details and subscription information for each member in the selected filter.

Keeping records in sync

If you maintain a separate membership database, run a periodic import to keep Community Hub up to date. Because of deduplication, you can safely re-import your full list — existing records are updated, new ones are added, and nothing is duplicated.
