Messaging

Overview

The messaging system lets you write a single message and deliver it to members via email, SMS, and voice — each member receives it through the channel they have chosen. You compose once; the platform handles the rest.

Step 1 — Select recipients

Go to Messages and click New Message. Choose who will receive it:

  • Topic subscribers — all members subscribed to a specific topic.
  • Event registrants — members registered for a specific event, or just those who attended.
  • All members — everyone in your system.

A live count shows exactly how many recipients will receive the message before you send.

Step 2 — Compose the message

Email tab

Use the rich-text editor to format your email. You can add headings, bold text, lists, and links. Use the Insert field dropdown to personalise with member data:

  • {firstname} — member's first name
  • {lastname} — member's last name
  • {orgname} — your organisation name
  • {unsubscribelink} — a link for members to manage their subscriptions

Use Send test to send a copy of the email to yourself before broadcasting.

SMS tab

Type your SMS message in plain text. The character counter shows how many characters you've used and how many message fragments that represents. A standard SMS is 160 characters; longer messages are split into fragments and each is charged separately.

Keep SMS messages short and direct. Include the most important information in the first 160 characters in case recipients only read the first fragment.

Voice / TTS tab

Type your message as plain text. Community Hub's text-to-speech engine converts it to a phone call. Listen to the preview before sending to check pronunciation sounds natural.

Voice messages reach members who do not use email or smartphones — particularly useful for urgent or time-sensitive communications.

Step 3 — Schedule or send

  • Send now — the message is sent immediately after you confirm.
  • Schedule — pick a date and time; the message is queued and sent automatically.

After sending

Once a message has been sent, go to Reports > Broadcast Reports to see the delivery status for each channel — how many were delivered, how many failed, and any that are still pending.
