Topic News

What is Topic News?

Topic News is a reading area attached to each topic. When you publish a news article to a topic, it appears on the subscription page for any member subscribed to that topic — like a permanent notice board alongside the messages you send. Members can read past articles at any time, even if they deleted the original email.

View topic news

Go to Topics, open a topic, and click the News tab. All articles for that topic are listed there, grouped by status.

You can also go to Messages > Topic News to see all news items across every topic your account manages.

Create a news article

  1. Open a topic and click the News tab.
  2. Click New Article.
  3. Enter a Headline — shown as the article title to members.
  4. Optionally write a Summary — a short description shown in the article list. If left blank, one is generated automatically from the content.
  5. Write or paste the Article Content in the rich-text editor.
  6. Set the Status:
    • Draft — saved but not visible to members yet.
    • Published — live and visible to subscribed members immediately.
  7. Optionally set a Publish Date to schedule the article to go live at a future date and time.
  8. Optionally set an Expiry Date — the article is automatically hidden from members after this date.
  9. Click Save.

Create a news article from a sent email

If you've already sent an email to a topic, you can turn it into a news article in one step — useful for building up an archive without extra effort.

  1. Go to the topic's News tab and click New Article.
  2. Click Create from sent email.
  3. Choose the email message from the list. The headline, summary, and content are populated automatically.
  4. Review and edit as needed, then save.
Articles created from sent emails start as drafts so you can review them before publishing. Change the status to Published when you're happy with it.

Edit or delete a news article

  1. Open the topic's News tab.
  2. Click the article headline to open it.
  3. Click Edit to modify it, or Delete to remove it.

Editing a published article updates it immediately — members will see the new version the next time they view the topic's news.

Draft, Published, and Archived

  • Draft — visible only to admins. Use this while writing or reviewing before going live.
  • Published — visible to subscribed members, subject to any publish or expiry dates you've set.
  • Archived — hidden from members but kept in the system for your records. Use this instead of deleting when you want to keep a history.

Staff access to Topic News

By default, staff members with topic editing permissions can manage news for the topics they have access to. If a topic is assigned to specific staff members via Staff Access in the topic settings, only those staff members (and full admins) can publish news for it.
