Topics

What is a topic?

A topic is a subscription category — for example, "Monthly Newsletter", "Event Reminders", or "School Holiday Programs". Members opt in to the topics they care about and choose how they want to be contacted for each one. You can only send a message to members who have subscribed to that topic.

View your topics

Go to Topics in the navigation menu. The list shows each topic name, the number of active subscribers, and any upcoming events attached to it.

Click a topic name to open its detail page, which shows subscriber history, recent messages sent, and the events list.

Create a topic

  1. On the Topics page, click New Topic.
  2. Enter a Topic Name — keep it short and clear (e.g., "Community Events").
  3. Optionally add a Description — shown to members on their subscription page.
  4. Click Save.
The topic name and description are visible to members. Write them from the member's perspective — describe what they'll receive, not your internal category name.

Edit a topic

  1. Click the topic name to open it.
  2. Click Edit.
  3. Update the name or description and click Save.

Changing a topic name does not affect subscriptions — members remain subscribed.

Delete a topic

A topic can only be deleted if it has no active subscribers. If it has subscribers, you can either:

  • Wait until all members have unsubscribed, or
  • Remove subscribers manually via the member records before deleting.
Deleting a topic also deletes its events and message history. This cannot be undone. If you only want to stop using a topic temporarily, consider setting it to not visible rather than deleting it.

Advanced topic options

The topic form includes several optional settings that control how a topic behaves and appears.

Visible to members

Controls whether the topic appears on members' subscription pages. Turn this off if the topic is not yet ready, or if it is mandatory (members cannot opt out and do not need to see it listed). Mandatory admin communications are a common example.

Opt-in / Opt-out / Mandatory
  • Opt-in — only members who actively subscribe receive messages. Good for interest-based topics such as specialist newsletters.
  • Opt-out — all members receive messages unless they unsubscribe. Suitable for general communications such as a monthly newsletter.
  • Mandatory — messages are sent to all members regardless of their preferences. Reserved for essential admin communications that members cannot opt out of.
New until

Set a date to highlight the topic with an orange header on the subscription page, drawing members' attention to topics that are recently added. The highlight is removed automatically after the date passes.

Group

Topics that share the same group name are displayed together on the member subscription page. Use groups to organise related topics — for example, grouping all "Events" topics separately from "Newsletters".

Topic image

Add an image to represent the topic on the subscription page. You can select one from our image library or upload your own image directly.

Staff access

Choose which staff members can edit this topic and post messages to it. By default, all staff have access; restrict this if only certain team members should manage a particular topic.
